Administration & Trade Assistant

About the role

We are looking for an Administration & Trade Assistant to support our Marketing team in Malta. The role combines administrative, finance, trade, customs and logistics tasks, ensuring smooth day‑to‑day operations across multiple stakeholders.

Key responsibilities

• Support SAP and finance processes: create purchase orders, goods receipts, sales orders, process invoices, payment allocations and cheque runs.
• Assist trade and events activities: vendor creation, contract management and monthly self‑billing.
• Prepare customs declarations and related documentation for inbound and outbound goods while maintaining accurate stock records.
• Maintain office administration: filing systems, reports, presentations and meeting coordination.
• Arrange domestic and international travel, accommodation, transport, visas and itineraries in line with company policies.
• Collaborate with internal teams, distributors, suppliers and service providers to ensure efficient processes.

Required profile

• Proven experience in administration within a busy office environment.
• Working knowledge of SAP.
• Excellent organisational and time‑management abilities.
• Strong attention to detail and accuracy.
• Ability to prioritise multiple tasks and solve problems proactively.
• Good communication and interpersonal skills.
