Document Controller

About the role

QP is seeking a Document Controller to manage the full lifecycle of project documentation across its international construction portfolio. You will ensure that all technical documents, correspondence and meeting minutes are accurately controlled, distributed and accessible to the right stakeholders at the right time.

Key responsibilities

• Maintain project documentation, including filing, archiving, version control and stakeholder access.
• Control and coordinate information issued for review, approval and construction using the Asite Electronic Document Management System.
• Issue, register and distribute official correspondence and documents between project teams, clients, contractors, authorities and vendors.
• Lead the document control software, manage documentation requests and maintain audit trails.
• Record meeting minutes and distribute them promptly to relevant parties.
• Ensure all documentation complies with project standards, contractual requirements and QP’s quality assurance protocols.

Required profile

• Several years of document control experience in a construction environment, preferably on complex or large‑scale projects.
• Degree in Construction, Project Management or a related field (preferred).
• MRICS/FRICS or recognised Project Management certification is an asset.
• Strong knowledge of construction standards, legislation and, ideally, Malta’s regulatory environment.
• High attention to detail with a methodical approach to version control and filing.
• Excellent planning and organisational skills to manage multiple projects and deadlines.
