Charter Sales Administrator

About the role

AirX, an international air charter operator with a diverse fleet, is seeking a Charter Sales Administrator for its Sales Department in Malta. The role reports directly to the Charter Sales Manager and supports the day-to-day charter sales function, handling enquiries, administrative processes and communication between internal teams and external partners.

Key responsibilities

• Support the Charter Sales team in handling VIP charter enquiries and preparing quotations, considering aircraft availability, operational requirements and pricing guidelines.
• Assist with coordinating confirmed flights, working closely with Operations and Flight Support.
• Monitor incoming enquiries and requests, making sure they are acknowledged, routed to the right people and followed up promptly.
• Communicate with brokers and clients by email, telephone and messaging platforms.
• Handle administrative processes such as collecting, preparing and distributing documents and client information.
• Track outstanding quotations, requests and flight handovers to ensure timely completion.
• Maintain accurate customer information and records in the company systems.
• Identify suitable alternatives when operational or availability restrictions arise.
• Work with Sales Management so that pricing and commercial procedures are followed, and comply with company policies and service standards.

Required profile

• Previous experience in business aviation, charter sales, customer service or a similar administrative role is an asset.
• Excellent written and spoken English.
• Proactive, reliable and solution-oriented, able to work independently and in a team.

Required skills

• Strong organisation, attention to detail and ability to multitask under pressure.
• Good computer literacy and quick learning of new systems.
