Group Desk & Reservations Coordinator

About the role

Join Ruby’s fast‑growing hospitality group as a Group Desk & Reservations Coordinator. You will be the central point for handling group enquiries and bookings across all Ruby hotels, ensuring a smooth and high‑quality experience for corporate clients.

Key responsibilities

• Process group enquiries from all Ruby hotels using HubSpot CRM.
• Manage and monitor group bookings in Opera Cloud PMS according to company standards.
• Serve as the primary contact for companies and agencies, linking customers with hotels.
• Handle accounts receivable processing and invoicing.
• Induct and train new staff members.
• Monitor operational standards, ensure compliance, and drive continuous improvement.

Required profile

• Vocational training or a degree in hospitality management.
• Initial experience in group bookings or front‑office (advantageous but not mandatory).
• Warm, friendly communication style with strong analytical and methodical abilities.
• High degree of independence, responsibility, and commitment to quality.
• Proactive mindset, open to new ideas and willing to challenge the status quo.
• Fluent English; French or German is a plus.
